Use these three questions to define the job before comparing products.
- Which age group, curriculum or research question must the platform support?
- Are source code, simulation, ROS and low-level control interfaces available?
- Can the institution afford maintenance, spares and multiple student users?
When not to automate yet
A short pause can prevent an expensive pilot with no owner or measurable outcome.
- A repeatable task with a clear owner and measurable outcome
- A stable process with known inputs, outputs and exceptions
- A pilot that can be observed safely and compared with today’s baseline
- The baseline cost, volume and error rate before automation
- Who owns exceptions, maintenance and the final decision
- How data, permissions and failures are recorded
- A process that changes before the team can measure it
- A project with no owner or acceptance criteria
- A technology purchase made only because the demo looks exciting
Three ways to solve the same problem
Choose the lowest layer that reliably removes the bottleneck.
Process first
Standardize the workflow, remove unnecessary steps and measure the bottleneck before buying technology.
Software automation
Use workflows, RPA or AI agents when the work is digital and the inputs and exceptions can be defined.
Physical robot
Use an arm, AMR, drone or humanoid when movement in the real world is the constraint to remove.
